Communicate clearly

Everyone benefits from clear information. Plain language is a way of writing and speaking that delivers information clearly so that it is understood by those who need and use the information.

Plain language is the use of simple, common words, short sentences and helpful graphics to provide information and improve communication. Regardless of someone’s educational or professional background, health information can be complex, overwhelming, and difficult to understand. It’s important to ask clients how they would like information communicated. And since we can't tell whether a client will understand the information we provide, it’s important to use plain language with all clients and present information in ways that improve their understanding and ability to act on information.

Tips for communicating clearly:

  • Slow down when giving explanations
  • Use common words
  • Break information down into short statements
  • Focus on the 2 or 3 most important ideas
  • Avoid use of the passive voice
  • Avoid the use of acronyms or medical jargon. Take time to explain what you mean by words like ‘negative’ or ‘at-risk’
  • Check for understanding using Teach-back
  • When providing written materials, highlight or circle important information and use bulleted and numbered lists
